Advanced Mode: Create Guest List

You can create your Guest List within Guest Management either by manual entry or by uploading a spreadsheet with specific requirements.

We recommend the manual entry method for ease and accuracy.

A) Manual Entry

  • Go to your Guest List within Guest Management and click "Add New Guest..."

  • Choose Individual, Individual with +1s, or Couple/Family/Group:

  • Scroll down and populate guest details including the First Name, Last Name, Email Address, Which Events They May Attend, and Salutation (For Email Communications) appropriately for each guest/couple/family. Remember to click "Save".
  • Continue this process for all your guests until all guests are in your Guest List
  • There are two modes you can choose between when configuring your Guest List and how guests identify themselves when they log into your wedding website.
    • The first method is by their first and last name (this is the default way). Names must be unique within the entire Guest List without any duplicates. You do not need to include email addresses if using the name method of guest identification.
    • The second method is by email address. If using the email mode of guest identification, each party on your Guest List must have an email address associated with them. Emails also must then be unique within the Guest List without any duplicates.

You can change the guest log-in method by choosing "by first & last name" or "by email" under Guest Management and in the Settings section.

B) Spreadsheet Upload

You may upload your XLS or CSV guest list within Guest Management. The spreadsheet must be on one tab with the following header names in Row 1:

  • First Name
  • Last Name
  • Salutation - This is an optional column! Choose if you would like your guests to be addressed with a Salutation such as Mr. Mrs. Ms.
  • Email Address - This column is mandatory if you are using guest identification by email. It is optional if using guest identification by first and last name.
  • Guest Type - You can leave the cell blank if the guest is of the type "Individual" or "Individual with +1s". (Or if you prefer, you can put "Individual" in the cell). For the "Couple/Family/Group", put the text "Group" inside the cell.
  • # of Plus Ones
  • Plus One Name
  • Plus One Email
  • Plus Two Name ...and so on depending on how many you have
  • Plus 2 Email
  • Event 1 (Event Name) - Please note that these parentheses are required around the event name. Please put the name of the event in parenthesis as it corresponds with the events on your site. For example, if the first event on your website's schedule is a rehearsal dinner, the title of that column should be: "Event 1 (Rehearsal Dinner)"
  • Event 2 (Event Name) ...and so on depending on how many you have

Under the event column, put a "Y" (for yes) or "N" (for no) to indicate if that guest is invited to the event or not.

**If any # of plus ones, invitee name, or event fields are left blank, the list will not upload.

Your spreadsheet should look something like this:

You can upload the finished file yourself by clicking on "Guest Management" in your editor menu, and then the "Guest List" tab. You'll see an "Upload List" button that can be used to upload your file to the website. You can either add to the list that's already there, or replace it completely.

If you run into any issues, just email us the file at help@rileygrey.com and we'll take a look.

NOTE: We recommend you use manual entry to create your guest list to avoid entry errors, which can save time and avoid frustrations with your spreadsheet. The web interface works much like a spreadsheet would, and is much easier to use. Also, your completed guest list can be exported into Excel at any time! Just click the "Download List" button:
